β’ Schedule: Monday β Friday (07:00 AM - 04:00 PM Manila Time) β’ Executive Support: Coordinate senior management calendars, schedule appointments, and resolve conflicts. β’ Prepare agendas, presentations, and comprehensive briefing materials for management meetings. β’ Record and distribute meeting minutes, ensuring action items are clearly assigned and followed up. β’ Manage travel arrangements, expense reports, and itineraries for leadership team members. β’ Handle high-level correspondence, emails, and calls with professionalism and discretion. β’ HR Administration & Onboarding: Oversee new-hire onboarding and contract creation using Employment Hero. β’ Maintain employee records and ensure they comply with legal and company policies. β’ Manage HR compliance requirements, including Leave Plus administration. β’ Assist in drafting and updating HR guidelines and policy documents, working closely with the management team. β’ Timesheet & Payroll Coordination: Reconcile timesheets for field and office staff. β’ Identify and troubleshoot discrepancies, liaising with relevant managers. β’ Coordinate with finance or accounting teams to ensure timely payment processing. β’ General Administration & Coordination: Organize and maintain electronic and paper filing systems. β’ Assist in planning and coordinating internal events, staff training sessions, and other team activities. β’ Collaborate with the finance team to track administrative and HR-related budgets. β’ Provide operational support on special projects and initiatives. β’ Compliance & Continuous Improvement: Stay updated with relevant employment legislation. β’ Oversee and maintain employee data within digital platforms, ensuring data integrity and confidentiality. β’ Identify process gaps in administrative or HR procedures.
β’ Prior experience (2+ years) in an Executive Assistant/HR Administration role, preferably within a project-based or field-services environment. β’ Proven track record managing onboarding activities and employment contracts. β’ Proficiency in Employment Hero or a similar HRIS platform required. β’ Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools. β’ Familiarity with timesheet management systems and payroll coordination.
