• Act as the primary contact for legal billing questions from internal and external parties, escalating matters as necessary. • Manage legal vendor onboarding and new matter set-up, ensuring compliance with billing policies. • Monitor invoice submissions and approvals, including regular reviews of pending and approved invoices. • Conduct regular audits of vendors, matters, and invoices and pull regular and ad-hoc reports. • Continuously evaluate and improve vendor onboarding and billing processes and create training materials. • Support management of the Legal team sites: upload new templates, training, forms, and guides.
• A minimum of three (3) years of billing, finance, operations, or general administrative and data analytics experience. • Law firm or legal operations experience. • Advanced proficiency in Microsoft Excel and Word. • Exposure to legal e-Billing (Brightflag) and/or Procure-to-pay (Coupa, Basware, etc.) systems. • A positive can-do attitude, good judgment, and the ability to effectively manage competing priorities. • A willingness to roll your sleeves up and take on additional projects as necessary. • Extreme attention to detail and great with numbers. • Strong organizational and communication skills (both oral and written). • The ability to self-motivate and thrive in a dynamic, high growth environment. • Nice-to -have: Fluency (oral and written) in German, Spanish, or French. • Law firm or in-house legal operations experience. • Intermediate proficiency in SharePoint site management, OneDrive, and Teams. • Experience transforming data in tools like PowerBI or Tableau (preference for PowerBI).
