• Job Title: Executive Assistant (Remotely) • Reports To: Chief Operating Officer (COO) • Department: Asset Management • Job Summary: We are seeking an experienced and highly skilled Executive Assistant to provide comprehensive operational and administrative support to the Chief Operating Officer. The Executive Assistant will serve as a vital liaison, fostering seamless communication and coordination across teams and departments. This role goes beyond traditional administrative functions, requiring the ability to lead and manage cross-functional projects, represent the executive in high-level meetings, and make critical decisions that align with organizational objectives. • Key Skills & Qualifications: • Proven experience in project management and operational support. • Strong interpersonal skills with an emphasis on negotiation and decision-making. • Ability to handle confidential information with the utmost discretion and professionalism. • Excellent organizational, communication, and multitasking abilities. • Key Responsibilities and Areas of Accountability: • Operational Responsibilities: • Serve as the primary point of contact for internal and external stakeholders on behalf of the COO, representing the executive’s interests and making informed decisions as needed. • Lead and manage cross-functional projects from initiation to completion, ensuring alignment with company goals and timely achievement of milestones. • Attend meetings on behalf of the COO, provide comprehensive summaries, and take action on follow-up items. • Negotiate agreements and contracts with vendors and partners, maintaining favorable terms aligned with organizational objectives. • Develop and oversee project timelines, milestones, and deliverables, ensuring adherence to deadlines. • Collaborate closely with department heads to drive strategic initiatives, monitor progress, and report on key outcomes. • Coordinate and execute special projects as assigned, leveraging strategic thinking and problem-solving skills. • Administrative Responsibilities: • Manage and prioritize the COO's schedule, ensuring alignment with strategic objectives and timely response to commitments. • Draft, proofread, and manage a range of communication materials, reports, and presentations with high attention to detail. • Coordinate cross-departmental administrative support, streamlining workflows to enhance operational efficiency. • Assist in budget preparation, expense tracking, and reporting to ensure cost-effective solutions and efficient resource management. • Key Performance Indicators (KPIs): • Efficient and timely completion of cross-functional projects. • High-quality representation of the COO in meetings and communication. • Effective management of the COO’s schedule and priorities. • Successful negotiation and management of contracts and vendor agreements. • Consistent and accurate delivery of reports, presentations, and other communication materials. • Apply Now: Join us to play a pivotal role in supporting our COO in advancing our strategic goals.
