• Provide high-level administrative support to C-suite executives (CEO, CFO) • Manage complex scheduling, calendar coordination, and meeting logistics • Coordinate and schedule internal executive meetings and external stakeholder meetings (clients, investors, board members, etc) • Ensure seamless coordination across multiple time zones in a remote work environment • Prepare agendas, take detailed meeting notes, and follow up on action items • Schedule and coordinate group events such as board meetings and company-wide All-Hands • Act as a liaison between executives and internal/external stakeholders • Handle highly confidential communications and sensitive information with discretion • Arrange domestic and international travel, including flights, hotels, and ground transportation • Manage travel itineraries and support time-sensitive adjustments as needed • Process expense reports, vendor payments, and credit card reconciliations in accordance with company policies • Oversee key administrative functions, such as vendor management and stakeholder engagement • Assist with document preparation, presentations, and special projects • Support internal operations teams by coordinating initiatives and handling ad hoc requests
• 3-6 years of EA experience with innovative leaders in fast-paced environments • Bachelor’s degree in business administration, communications, or another related field • Proven ability to support multiple C-suite executives simultaneously • Experience working with cross-functional leaders and managing company-wide operations • Strong organizational and problem-solving skills with the ability to adapt to shifting priorities • Strong interpersonal and communication skills • Professional, discrete, and trustworthy with confidential and sensitive information • Energized by precision, efficiency, and proper execution • High attention to detail, especially when coordinating meetings, travel, and expenses • Proven experience handling highly confidential information with discretion, including executive communications, financial data, and board materials, ensuring strict adherence to privacy and security protocols. • Ability to liaise with vendors and internal teams to ensure smooth operations
