• Fantastic opportunity to join TFS HealthScience! • Join Our Team as a Proposals and Contracts Analyst - home based in Poland or Portugal. • Facilitate and provide complete business support for the TFS business development team from proposal generation and the negotiation and closing of contracts and change orders. • Facilitates assigned contract processes for all contracting scenarios, including but not limited to the coordination and finalization of the customer contract including the project specifications in the budget for proposals, contracts and change orders. • Act as proposals and contracts interface for customers, ensuring consistency in approach, metrics, and format. • Ensure compliance related to Proposals and Contracts team and TFS SOPs, processes, guidelines, policies, and any other related items within the Proposals and Contracts group. • Support the sales team in meeting annual sales goals and objectives. • Support TFS response to sales opportunities and work with the internal TFS team to respond appropriately to Request for Information (RFI) and Request for Proposals (RFP). • Upon instruction prepares written bids, proposals, and budget estimates in response to RFPs, for submission to the client. • Positively interact with TFS operations personnel and help coordinate and complete negotiation and execution of change orders when notified of a change of scope by operations. • Communicates with Project Controller/Finance to develop payment schedules that conform to TFS requirements and meet client needs. • Support the TFS team preparing for client meetings. • Collect and prepare specific background information/data and summaries. • With assistance from Manager or Mentor, lead budget and contract negotiations, for any work awarded to TFS and liaise with operational service leads to compile necessary data and approvals. • Support with preparing sponsor presentations (budget details, payment schedules, task and responsibility matrix).
• Bachelor’s Degree or relevant work experience • Minimum 2 years' experience in Proposal Development within a CRO or clinical research setting • Intermediate to advanced Excel knowledge, including pivot tables, lookups, and data modelling • Strong analytical and financial acumen; ability to interpret complex cost models and pricing grids • Solid understanding of cost drivers, unitised budgets, and assumptions impacting pricing • Experience in post-award contract management (Work Orders, Change Orders, CNFs, and reconciliations) • Comfortable working under pressure, managing competing deadlines, and maintaining high accuracy • Excellent attention to detail with a proactive approach to problem-solving • Familiarity with Salesforce for tracking opportunities and maintaining audit-ready records • Familiarity with client RFP processes • Strong written and verbal communication skills; ability to liaise with cross-functional teams • Experience working with global teams and understanding of pricing considerations when it comes to different study Phases (optional but valuable) • Ability to support bid defence preparation (optional)
