Description

• Providing administrative and technical support of a clerical nature as required to a project team. • Assisting in performing such tasks as maintaining project documentation and records. • Assisting and contributing to the preparation of all key FSS deliverables and documents. • Acting as the first point of contact in a 'hotline' situation by accepting incoming calls, logging calls, attempting to resolve simple problems and following established procedures for more difficult problems. • Tracking Technical Specialist requests. • Providing administrative assistance to third parties, as required. • Maintaining and tracking financial transactions, enters commitments and expenditures into the project financial budgets. • Maintaining accurate records and supporting documents, including invoices and timesheets for all invoices submitted to DFATD for reimbursement. • Arranging logistical services such as vehicle rental, travel and missions, as required. • Assisting with the coordination of logistical services and FSS activities with third parties. • Assisting with the preparation of progress reports and other documents.

Requirements

• Degree in a relevant discipline such as finance, accounting, economics or business or public administration. • A minimum of five (5) years of experience as a Financial and Administrative Officer. • Prior experience working in a Developing Country or working with International Development Assistance Stakeholders, preferably in Peru or Bolivia. • Proven track record of managing international development projects with a minimum annual budget of 1 million dollars CAD. • Demonstrated experience in managing and monitoring project related expenditures according to approved project budget and ensure financial records are maintained in an accurate and timely manner. • Proven experience in reviewing financial reports. • Proven experience in administering the provision of logistical services. • Demonstrated experience in developing and maintaining record keeping and filing system. • Demonstrated ability to manage time productively and efficiently and meet changing deadlines. • Able to work effectively in a dynamic team environment (working both independently and as part of a small team). • Good analytical, problem-solving, and decision-making skills. • Highly proficient in the use of Microsoft Office and Google software including Gmail, calendar, drive, spreadsheet, word processing, and presentation software. • Professional proficiency in Spanish and English/French (oral, reading, writing).
