• The Senior Executive Assistant supports the Vice President & Executive Directors of the Combination Product Quality (CPQ) organization • Responsible for performing numerous administrative duties • Works closely with the CPQ Leadership Team to support administrative needs • Proactively manage executive’s calendar with a focus on efficient time utilization • Manage and coordinate VP and leadership team logistics • Answer questions/furnish information to keep the executive's time free of minor detail work • Plan and organize work to ensure the executive has appropriate time to perform duties • Prepare the VP with pre-read and briefing documents in advance of daily meetings • Coordinate arrangements for and execute key tasks for global business meetings • Conserve executive’s time by acting as a delegate within processes • Review, prioritize and flag high priority communications • Oversee VP’s Leadership Team meeting agendas • Coordinate extensive domestic and international travel arrangements • Prepare and process expense reports ensuring compliance with company policies • Maintain up‐to‐date distribution lists and organize logistics for group meetings • Set up interviews as needed • Develop and maintain a system for organizing and prioritizing incoming calls and mail • Assist with preparation and editing of documents
• Associate’s degree and 4 years of administrative experience OR High school diploma / GED and 6 years of administrative experience • Bachelor’s degree and direct experience supporting a senior executive for a large corporation preferred • 5+ years of Administrative Assistant experience • Absolute discretion and confidentiality • Good judgment, creativity, flexibility and initiative in resolving issues • Fundamental presentation skills • Ability to work in a fast-paced, deadline-driven environment • Experience working in the biopharma industry • Ability to prioritize projects of greater urgency and importance • Expert level PC skills in MS Word, PowerPoint, Excel, database skills, SharePoint and advanced typing skills • Team Player and a Role Model • Excellent written, verbal, and presentation skills in communicating key business and clinical information • Excellent time management and project management skills
