Description

• Provide ongoing administrative support and track success metrics for newly onboarded technicians. • Document any non-experienced new hire not being enrolled in technical training. • Collect and analyze data on trainee performance, completion rates, and post-training success. • Provide leadership with reports to improve program outcomes. • Administer post-training surveys to gather feedback and insights for continuous program improvement. • Oversee the certification process for graduates and skill-validated experienced hires, ensuring all documentation is completed for industry-recognized credentials. • Assist in integrating company values, culture, and best practices into the training experience. • Manage enrollment for new hires upon completion of all required documentation and onboarding steps. • Coordinate and track enrollment for advanced and cross-training programs for existing employees. • Develop and administer an onboarding and orientation program to familiarize new trainees with training expectations, facilities, and program resources. • Oversee the scheduling and maintenance of the training calendar, ensuring smooth coordination of training sessions. • Make introductory calls to welcome trainees and provide necessary information before their program starts. • Draft and send welcome letters to new technicians and trainees. • Arrange travel accommodations (hotels, flights, ground transportation) and provide after-hours/emergency travel support for trainees as needed. • Develop procedures for handling emergencies, crises, or unforeseen circumstances, such as weather disruptions or accidents during training. • Serve as the point of contact for trainee concerns prior to training and as the Technician Trainer’s escalation contact during training. • Partner with the EHS team to ensure compliance with safety standards and regulations during training sessions. • Ensure compliance with company standards regarding trainee safety and operational procedures. • Provide regular updates to stakeholders on the training calendar, communicating any changes in advance. • Notify stakeholders of unexpected training disruptions (e.g., schedule changes, emergencies) promptly. • Ensure that Technician Trainers provide timely progress reports on trainees, including milestones, areas of improvement, and issues encountered. • Manage trainee meal programs, fleet vehicles, and apparel orders. • Coordinate the ordering and distribution of graduate tool kits and company vehicles for newly certified technicians. • Oversee the creation and distribution of business cards for trainees and graduates. • Administer the uploading and movement of trainees in the Training Portal during onboarding and certification. • Confirm trainee access to company platforms such as email and Workday. • Provide support for phone software, system updates, virtual meeting setup, and entries into the Learning Management System (LMS). • Manage the addition/removal of trainees, managers, and trainers in weekly evaluation sheets. • Assist with updates to platforms including EngageByCell, Forms, Smartsheet, Viva Engage, and SharePoint. • Ensure the supply and availability of all printed training materials. • Approve consumable and shop supply orders from Technician Trainers via Coupa and Amazon. • Maintain relationships with vendors for services such as catering, travel, hotel accommodations, apparel, and fleet management. • Assist in negotiating contracts with vendors to ensure cost-effective and quality services for trainees. • Submit expenses for payment and review/approve department staff expense reports in a timely manner. • Oversee and track the budget for the training program, including travel, meals, materials, and trainee equipment. • Manage expense reports related to travel, materials, and other program costs. • Administer the setup and logistics for temporary training support by field technicians, including compensation and travel arrangements. • Support scheduling for onboarding and orientation in the Impact Training Program. • Ensure HRBPs have onboarding, start date, and certification information to schedule field trainers. • Assist with field inquiries and provide reports and information. • Audit payroll reports to resolve errors and ensure accurate compensation. • Other duties as assigned.

Requirements

• Minimum of 3 years of experience in program or training management, including budget oversight and vendor management. • Previous experience in administrative support, preferably in an education or technical training setting. • Strong organizational and time management skills. • Excellent written and verbal communication abilities. • Proficiency in office management software (e.g., Microsoft Office) and Workday. • Ability to handle sensitive and confidential information. • Must be able to lift 50 lbs. • Bilingual (Spanish) is a plus.
