• We are seeking an experienced and detail-oriented Secretary with a strong background in property management, leasing, legal documentation, and bookkeeping. • The ideal candidate will have in-depth knowledge of lease agreements and other property management-related legal documents, along with exceptional organizational and administrative skills. • Key Responsibilities: • Leasing Management: • Draft, review, and manage lease agreements and amendments. • Assist in tenant onboarding, including lease execution and compliance with legal requirements. • Maintain a thorough record of lease expirations, renewals, and terminations. • Legal Documentation: • Prepare, organize, and maintain property management-related legal documents, ensuring compliance with relevant regulations. • Coordinate with legal professionals for property-related disputes or requirements. • Handle notarization and filing of legal documents as required. • Bookkeeping and Financial Management: • Assist in managing property-related accounts, including rent collections, deposits, and expense tracking. • Generate financial reports related to property income and expenses. • Work closely with the property manager and accounting team to reconcile accounts. • Administrative Support: • Answer and direct phone calls, emails, and correspondence related to property management. • Schedule meetings, appointments, and property inspections. • Maintain organized records for leases, legal documents, and financial transactions.

Requirements

• Proven experience in leasing • Proven experience legal documentation • Proven experience in bookkeeping within the property management industry. • Strong understanding of lease agreements and other property-related legal documents. • Proficiency in property management software (e.g., AppFolio, Yardi) and bookkeeping tools (e.g., QuickBooks, Excel). • Excellent written and verbal communication skills. • Highly organized and detail-oriented, with the ability to handle multiple tasks efficiently. • Knowledge of local property management laws and regulations is preferred.
