β’ Support the routine maintenance and preventative fire asset services by scheduling, coordinating, and optimizing daily maintenance tasks. β’ Handle client and staff inquiries, manage maintenance records using asset management software, and provide general administrative support. β’ Collaborate with supervisors, technicians, and apprentices to ensure timely task completion. β’ Manage routine inquiries, emails, issues, and complaints from clients and staff, escalating to the Maintenance Supervisor or Manager when needed. β’ Track and monitor the completion of maintenance tasks to ensure compliance with company standards. β’ Coordinate fire door servicing, manage client bookings, and work with contractors and service providers for repairs. β’ Provide general administrative support, including handling office phone calls and overflow inquiries. β’ Maintain and update routine maintenance site information using the FSS asset software. β’ Ensure client portal information remains accurate and up to date. β’ Collaborate with leadership and other departments to achieve overall service goals.
β’ Experience in an administrative or support role, ideally within maintenance or facilities management. β’ Strong organizational and scheduling skills with meticulous attention to detail; scheduling experience is a huge plus. β’ Excellent verbal and written communication abilities for effective client and staff interaction. β’ Ability to work independently and collaboratively in a team environment. β’ Familiarity with asset management software or similar tools is an advantage. β’ Proactive problem-solving attitude and eagerness to learn new systems. β’ Experience in maintenance administration or a related field is desirable.
