Description

β€’ Greet, assist and direct guests, employees and clients β€’ Screen/route incoming calls and correspondences including mail, email and faxes; respond independently when possible β€’ Prepare and file reports and documents including with government agencies to conform with statutes β€’ Compose and distribute general correspondences, memos, charts, tables, graphs, reports, presentations and other documents as needed β€’ Coordinate manager/department calendars and schedule appointments β€’ Prepare, compose and transcribe records such as agendas, notices, minutes, and resolutions for department meetings β€’ Create and maintain recordkeeping, database and spreadsheet files β€’ Maintain office equipment, coordinate IT needs, order department supplies and arrange for equipment maintenance β€’ Assist in outlets during peak periods or staff shortages (as required) β€’ Manage expense reports and code, sign and submit invoices (as required) β€’ Maintain department operations manuals, safety and training materials (as required) β€’ Other duties as assigned

Requirements

β€’ Must be 18 years of age or older β€’ High School Diploma or GED required β€’ Valid or current driver's license β€’ Minimum one year of experience in a clerical/administrative support position β€’ Proficient computer skills; Microsoft Word, Excel, Outlook and PowerPoint β€’ Proficient in calendaring β€’ Proficient language skills; Must be fluent in English; Spanish proficiency preferred β€’ Intermediate accounting skills β€’ Excellent interpersonal skills with a proven ability to collaborate with team members β€’ Excellent verbal and written communication skills β€’ Excellent complex problem-solving and critical thinking skills β€’ Ability to exercise discretion and independent judgement with respect to matters of significance β€’ Ability to manage multiple projects and meet deadlines β€’ Ability to quickly learn systems and processes used by organization
