ā€¢ Location: Remote ā€¢ Work Shift: EST ā€¢ Work Schedule: 40 hours per week (Full-time) ā€¢ Job Overview: We are seeking a dynamic Operations Associate to join our team. ā€¢ This role will play a pivotal part in supporting our operational functions, finding efficiencies for our firm, and facilitating the growth of our organization. ā€¢ You will work closely with the executive team to support business operations, manage internal and client projects streamline processes, implement automation, and effectively manage systems and data. ā€¢ This role also entails providing comprehensive administrative support to our Founder and CEO. ā€¢ The successful candidate will play a crucial role in assisting the CEO across both their personal and professional endeavors, ensuring seamless coordination and organization of daily activities. ā€¢ Operational Responsibilities: Provide comprehensive operational support by managing routine tasks, automating processes, and enhancing workflow efficiency. ā€¢ Conduct data mining activities to identify potential development sites for solar electric facilities. ā€¢ Manage electric utility and real estate information to assess site suitability. ā€¢ Assist in document preparation, drafting, and note-taking during meetings. ā€¢ Collaborate with the team to integrate legacy data sets into the existing project management architecture. ā€¢ Demonstrate proficiency in web-based applications and project management suites. ā€¢ Contribute to the development of operational systems aimed at enhancing executive-level functionality. ā€¢ Executive Support Qualifications: Manage complex calendars and schedules, prioritizing appointments and meetings effectively. ā€¢ Act as a liaison between the CEO and internal/external stakeholders, facilitating communication and collaboration. ā€¢ Anticipate the CEO's needs and proactively address any issues or concerns. ā€¢ Maintain confidentiality and discretion when handling sensitive information.

Requirements

ā€¢ Bachelor's degree or equivalent in a relevant field or equivalent practical experience. ā€¢ Proven experience in operational support roles, preferably in technology, energy, or real estate-related industries. ā€¢ Proficiency in project management software and CRM systems (e.g., Monday.com, Asana) ā€¢ Strong analytical skills with the ability to analyze data and manage databases effectively. ā€¢ A tech-savvy individual with a quick learning ability and familiarity with web-based applications. ā€¢ Detail-oriented with excellent organizational and multitasking abilities. ā€¢ Strong communication skills with the ability to collaborate effectively within a team environment. ā€¢ Work experience with Excel &/or GoogleSheets ā€¢ Stay current on AI tools as they emerge, find ways to apply them in operations, bring them to the management team, and implement them. ā€¢ Previous experience as an Executive Assistant, Administrative Assistant, or similar role, preferably supporting C-level executives. ā€¢ Exceptional organizational skills with the ability to multitask and prioritize tasks effectively. ā€¢ Strong communication and interpersonal abilities, with a professional and proactive approach to work. ā€¢ Proficiency in calendar management, scheduling, and office software, specifically iOS, Google Workspace, and Microsoft. ā€¢ Ability to work independently and make decisions in a fast-paced environment. ā€¢ Discretion and integrity when dealing with confidential information. ā€¢ Flexibility to adapt to changing priorities and responsibilities.
