Description

• Responsible for providing comprehensive administrative support to the executive team • Manage calendars, schedule meetings, organize travel arrangements, and draft correspondence • Gather data and create report tables as needed • Serve as primary point of contact for clients and vendors, handling inquiries, directing calls, and ensuring customer satisfaction • Conduct customer support activities and address concerns promptly and professionally • Prepare and distribute internal and external communication • Coordinate logistics for moving projects, liaising with clients, movers, and stakeholders for efficient service delivery • Engage with vendors and partner companies, negotiate contracts, and manage relationships for business operations • Assist in preparation of reports, maintain filing systems, oversee data entry and database management • Extract data from various sources, ensure accuracy and relevancy, analyze for insights and support decisions • Conduct research to inform strategies, identify partnerships, and stay updated on industry developments • Process invoices, track expenses, assist with budget preparation, and handle petty cash • Utilize AI tools and productivity software to streamline tasks and enhance operational efficiency • Handle sensitive information confidentially and maintain discretion at all times • Assist with special projects, event planning, and company activities

Requirements

• Bachelor’s degree from an accredited College or University • A minimum of 5-8 years of relevant experience in an Administrative or Executive role • Exceptional written and verbal communication skills • Strong interpersonal abilities, capable of building effective professional relationships • Demonstrated experience in handling sensitive and confidential information with discretion • Proficiency in managing various administrative tasks and working efficiently under pressure • Ability of creating documents/procedures/instructions • Good research skills • Ability to gather, process data and presenting it • Experience using google drive, excel, docs and other tools

Benefits

• Monday to Friday - 9:00 am – 6:00 pm Boston Time (10:00 pm – 7:00 am PH time), including 1-hr lunch break • Work-from-home
